There are two types of email hosting generally in use today – POP / IMAP are the old legacy systems that generally come free with your web hosting, and the Office365 / Microsoft Exchange systems in use by most of the business community.

Whilst POP and IMAP are cheap or free, the main drawback to Office365 / Exchange systems is the monthly cost per mailbox. Aside from this there are a number of advantages to Office365 / Exchange email:

• Much more secure than POP / IMAP
• Designed to be shared by more than one device (for instance a computer, a laptop and a phone)
• Two factor authentication (2FA) is available if required
• May be a requirement of your insurance policy / cyber security requirements
• Much higher mail storage limits (50 or 100GB) compared to POP / IMAP

In the company environment the old POP / IMAP-based systems no longer meet the needs of the work environment. For example, emails you send from your mobile phone are unlikely to appear in the “sent items” of your laptop or desktop, whereas with Office365 / Exchange all devices connected to that account will show the same information.
POP and IMAP are also considered as “insecure” (even if SSL and encryption is enabled on the accounts) so you are unlikely to be able to pass any sort of cyber security audit unless your email is hosted on Office365 or Exchange-based systems.

All of our email accounts are pre-filtered by our Spamwall system before the mail gets redirected to Office365 – this helps to keep the amount of spam down.
